How to Schedule Social Media Posts

How to schedule approved social media posts on Instagram and LinkedIn using approved captions and platform-specific images.

Before you start

Before scheduling a post, make sure you have:

  • The approved post caption from the Social Content Tracker or Google Doc
  • The correct Instagram image or carousel files
  • The correct LinkedIn image or document files
  • The final post date and time
  • Any collaborator/tagging details needed for the post

Use the Social Content Tracker as the main source of truth for post status, approved copy, visuals, and scheduling notes.

Scheduling an Instagram post

Instagram posts should be scheduled through the Instagram app so image sizing, carousel order, and collaborator settings can be handled correctly.

1. Open the Instagram app

Log into the Pave HER Way Instagram account from the Instagram mobile app.

2. Create a new post

Tap the + button and choose Post.

If the post is a carousel, select all of the images in the correct order before moving forward.

3. Confirm the images are in the right order

Before continuing, double-check that the carousel slides match the intended order from the Social Content Tracker.

This is especially important for posts with multiple slides, since the first slide becomes the cover image.

4. Copy the approved caption

Open the Social Content Tracker or approved Google Doc and copy the final Instagram caption for that post.

Paste the caption into the Instagram post caption field.

5. Add collaborators or tags

If the post needs collaborators, add them before scheduling.

For Pave HER Way posts, this may include people like:

  • @shihisirene
  • @marlatellez
  • @aracelimohn
  • @twobridesonestone

Use collaborators when the post should appear on someone else’s profile, not just as a tag.

6. Set the scheduled date and time

Go into the scheduling settings for the post and choose the correct publish date and time.

Double-check the date against the Social Content Tracker before confirming.

7. Confirm the scheduled post

Review the post one final time:

  • Correct image or carousel files
  • Correct slide order
  • Correct caption
  • Correct collaborators/tags
  • Correct scheduled date and time

Then confirm the scheduled post.

Scheduling a LinkedIn post

LinkedIn posts can be scheduled from the LinkedIn admin area.

1. Open the Pave HER Way LinkedIn admin page

Go to the Pave HER Way LinkedIn page and open the admin/posting area.

2. Create a new post

Start a new post from the company page.

3. Copy the approved LinkedIn caption

Open the Social Content Tracker or approved Google Doc and copy the final LinkedIn caption.

Paste it into the LinkedIn post field.

4. Attach the correct file or image

Upload the correct LinkedIn visual for the post.

Depending on the post, this may be:

  • A single image
  • A carousel/document-style file
  • Another approved visual asset linked in the tracker

Make sure you are using the LinkedIn-specific file, since Instagram and LinkedIn assets may use different sizing or formatting.

5. Schedule the post

Use LinkedIn’s scheduling option to choose the correct publish date and time.

Double-check the date and time against the Social Content Tracker.

6. Confirm the scheduled post

Before confirming, review:

  • Correct caption
  • Correct image or file
  • Correct scheduled date and time

Then schedule the post.
